It is always possible that we need to change all the Activity IDs in Primavera P6 and this task can be incredibly time consuming if we try to do it manually one Activity at a time. P6’s has a feature called “Renumber IDs” which can help to reorder IDs, but in many situations it is inadequate. It does not change a complex Activity ID which common in project scheduling these days.
Activities IDs are not just a number that you can simply adjust by renumbering. They are complex entities that mix different part of a schedule. When someone see an Activity ID, he/she must understand that the ID codes information about which area the Activity belongs to, which discipline, which craft, which phase, etc.
For instance, CTACAMR080 is an activity ID showing this activity is for Construction (CT), ongoing in area AC, is dedicated to MR Equipment list, etc. Now suppose that you want to change this kind of Activity IDs and use CO as a symbol for construction instead of CK. It is not possible to do that in P6 alone. These changes are common in flux project environments and schedulers need to know how to respond to them.
So, when the project manager asks to change all Activity IDs to a new format or coding structure, the only way is with the help of Excel.
In this tutorial, I am trying to introduce an easier way, using Excel, that enables us to change all Activity IDs at once and also will let you implement any special procedures in defining Activity IDs.
Step 1 – The Setup
We’ve got a sample project which have very simple Activity IDs as shown above.
Step 2 – Borrow a User Defined Field
We’ll add UDF user_Text10 to our layout. You can also create your own UDF if need be. We need this column because in following steps, we will use it as a column to copy the new activity IDs in Excel.
The new text column has beed added to the layout.
